Sincliq Inc. (“Sincliq”) provides a point-of-sale system for service, hospitality and retail businesses in the selected market. This document explains what personal data we process, in which role and on what terms.
Who processes your data
Your data is processed by Sincliq Inc., 1000 Northwest Street, Mid-Town Brandy Wine, Suite 1200, Wilmington, DE 19801, USA. E-mail: hello@sincliq.com. That same postal address is where written requests concerning personal data should be sent. Which role we act in — controller or processor — depends on whose data is involved; the next section explains it.
Two roles, two responsibilities
For the data of the people who run a business and those who contact us, we act as data controller. For the data of a venue's guests — our customers' customers — we act as data processor: we see it only because we operate the venue's point-of-sale system, and we process it on that venue's instructions. The venue decides what it collects from its guests and why.
What we process
Business account: company name, address, tax number, e-mail address, contact details. Staff: name, job description, role, and a cryptographic fingerprint of the PIN (the PIN itself is never stored in any form it could be recovered from). Sales: items, amounts, payment method, document number. Reservations and appointments: name, phone number, optional note. Delivery-platform orders: customer first name, order contents, order notes. Loyalty: card identifier and points history.
What we do not process
We do not store payment card numbers or payment credentials. Payments are handled by a payment provider; only the transaction outcome and its identifier come back to us.
Why we process it
To deliver the service: run sales, issue documents, handle reservations and orders, and calculate reports and takings. To meet legal obligations that apply to the venue and to us — in particular fiscal and record-keeping requirements in Poland and Germany. To keep the system secure: detect abuse and maintain an event log and an immutable sales ledger.
Integrations with third-party platforms
If a venue connects Sincliq to a delivery platform (for example Uber Eats), that platform sends us the order data needed to fulfil the order. The connection is created only after the explicit consent of the account owner on that platform, and it can be switched off or removed at any time from the Sincliq panel. We do not retrieve data from such platforms beyond what order handling requires.
Where the data sits and who can reach it
Data is stored on servers in the European Union. We use infrastructure and support providers (database and application hosting, transactional e-mail delivery, payment providers, order platforms) acting either on our instructions or as separate controllers for their own services. On our side, access is limited to people who need it to keep the system running.
Transfers outside the European Economic Area
We store data in the European Economic Area. If delivering the service requires a provider or customer-support operation outside the EEA, we transfer only the data that is necessary and rely on a mechanism permitted by the GDPR, in particular an adequacy decision or standard contractual clauses.
How long
Sales data and documents are kept for the period required by tax and accounting law. Account data is kept for the term of the agreement and the limitation period for claims. Technical logs are kept as long as diagnostics require, normally no longer than a year. Guest data is deleted or returned as decided by the venue that entrusted it to us.
Your rights
You have the right to access your data, to rectification, erasure, restriction of processing, portability and objection. If your data reached us through a venue where you were a guest, please address your request to that venue first — we will help them act on it.
Complaint to a supervisory authority
Regardless of any contact with us, you may lodge a complaint with the supervisory authority for your place of residence, place of work or the place of the alleged infringement. In Poland this is the President of the Personal Data Protection Office, and in Germany the competent state or federal data protection authority.
